Guide · Setting up

Set up business email on an iPhone or an Android phone

A phone reads a mailbox on your own domain with the same settings as any mail program: the server, the ports and the full address. This guide gives the steps in the iPhone's Mail app and in the Gmail app on Android.

The settings a phone asks for

The service's home page lists the server and its ports. The user name is the full address and the password is the mailbox's own, for reading and for sending.

  • Incoming mail (IMAP): the server from the home page, port 993, SSL/TLS.
  • Outgoing mail (SMTP): the same server, port 465 with SSL/TLS, or port 587 with STARTTLS.

iPhone and iPad: the Mail app

  1. Open Settings, then Apps, then Mail, then Mail Accounts, and tap Add Account.
  2. Enter the address and tap Next, then Add Other Account, then Mail Account; enter a name, the address, the password and a description.
  3. Tap Next. If Mail does not find the settings, choose IMAP, enter the incoming and outgoing servers with the full address as the user name, and tap Save.

On versions of iOS before Apps had its own entry in Settings, the accounts are under Settings, then Mail, then Accounts.

Android: the Gmail app

  1. Open the Gmail app, tap the profile picture at the top right, then Add another account, then Other.
  2. Enter the full address, tap Next and choose Personal (IMAP).
  3. Enter the password, then the incoming server (port 993, SSL/TLS) and the outgoing one (port 465, SSL/TLS), and follow the steps on screen.

Some phone makers ship a mail app of their own; the settings are the same, under an option such as manual setup or IMAP.

If the phone will not connect

  1. Check that the user name is the full address, on the incoming and on the outgoing server.
  2. Check each port with its security; STARTTLS on port 993, for example, fails.
  3. Sign in to the webmail with the same password. If it works there, the password is right and the phone's settings are the problem.

Questions

Can a business mailbox be read on the phone and the computer at once?

Yes, with IMAP. The mail stays on the server, so the phone, the computer and the webmail show the same mailbox.

Does the phone need a special app?

No. The iPhone's Mail app and the Gmail app on Android both read an IMAP mailbox on any domain.

Why does the phone receive mail but not send it?

Usually the outgoing server is missing its user name and password, or its port and security do not match. Use port 465 with SSL/TLS, the full address and the mailbox's password.
